1. Information We Collect
Information you provide:
- Account information: name, email, password, business name
- Business data: property details, Q&A pairs, amenities, contact info, guest records
- Payment information: processed securely by Stripe (we never store your full card number)
- Communications: support emails, chat logs
Information collected automatically:
- Usage data: pages visited, features used, conversation counts
- Device information: browser type, IP address, operating system
- Cookies: for authentication and session management
2. How We Use Your Information
We use your information to provide and maintain our services, process payments, send service-related communications, improve our products, monitor usage for billing, provide customer support, and detect fraud.
We do NOT:
- Sell your data to third parties
- Use your data for advertising
- Share your customer/guest data with other clients
- Train our AI models on your proprietary business data
3. AI & Conversation Data
- Conversations between your customers and CLETUS are logged for providing the service, analytics, and improving response quality
- Conversation data is stored securely and associated with your property account
- You can delete conversation logs at any time from your dashboard
- We use Anthropic's Claude AI to power responses, subject to their privacy policy
- We do not use your conversations to train AI models
4. Data Sharing
We share data only with service providers necessary to operate:
- Stripe — payment processing
- Anthropic — AI response generation
- Twilio — SMS delivery
- Vercel — hosting
- ElevenLabs/Vapi — voice AI (when active)
We will also share data if required by law or necessary to protect our rights.
5. Data Security
- All data encrypted in transit (TLS/SSL) and at rest
- Access restricted to authorized personnel only
- Supabase database with row-level security
- API keys stored as secure environment variables
6. Data Retention
- Active accounts: data retained as long as your account is active
- Cancelled accounts: data retained for 30 days, then deleted
- Expired trials: data retained for 30 days
- Conversation logs: retained for 12 months, then archived
- Request data deletion anytime at support@globalaibots.com
7. Your Rights
You have the right to access, correct, delete, and export your personal data. You can opt out of non-essential communications. Update your data via your dashboard or contact support.
8. Cookies
We use cookies for authentication and session management only. We do NOT use cookies for advertising or third-party tracking.
9. Children's Privacy
Our services are not intended for children under 13. We do not knowingly collect information from children under 13.
10. International Data
Our services are hosted in the United States. By using our services, you consent to data transfer to and processing in the United States.
11. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated via email or dashboard notification. Continued use constitutes acceptance.
